Job Title:  Executive Assistant

Reports to:  President/CEO, V.P. of Operations

 Purpose:  To provide administrative support for the Tourism Leadership Council.  To provide a professional, positive first impression as the first point of contact to all who communicate with the organization.  To maintain an organized and efficient office in order to best assist members. We want someone who is consistent, organized, and ready to dive in and work with our team.

 PRIMARY RESPONSIBILITIES:

Providing positive and professional support and communication with TLC members and our community.

Answering telephone, following up with voicemails and emails in a timely manner.

Efficient membership database maintenance and management.

Recording minutes for TLC board and committee meetings.

Basic accounting practices including invoicing, preparing and submitting payables to accountant, bank deposits, credit card processing.

Managing incoming and outgoing mail, including post office runs.

Inventory and ordering of office supplies.

Provide administrative support to the CEO on a daily basis.

Organizing and maintaining office filing system.

Coordinating fulfillment and support of sales activities for staff.

Coordinating calendars for TLC events and staff.

Assisting with planning, registration, and execution of TLC events and fundraisers.

Working set-up and registration at all TLC membership events (seminars, socials, luncheons, fundraisers, etc.).

Soliciting donations for raffles and auctions.

Other duties as assigned by the President/CEO.

 KNOWLEDGE AND SKILL REQUIREMENTS:

Strong communication skills.

Excellent organizational skills.

Attention to detail.

Ability to handle multiple tasks, prioritize, problem solve, and meet deadlines. 

 COMPUTER EXPERIENCE:

Proficiency in Microsoft Office applications a must – including Excel, Word, Power Point, Outlook

Strong word processing skills required.

Internet applications and database entry.

 EDUCATION AND WORK EXPERIENCE:

Administrative experience desirable.

Experience in hospitality and tourism industry desirable.

WORK DEMANDS:

Regular and on-time attendance.

40 hour work week expected on regular basis.  Occasionally, overtime hours may be required during fundraiser events.

Work with others in a team environment.

Moderate lifting and physical activities will be performed for operating festivals and events.

Compensation commensurate with experience, ranging from $13.00 to $16.00 an hour. This is a full-time position with minimal overtime. Benefits include vacation, major holidays, and paid time off. Office hours are Monday through Friday, from 9AM to 5PM.
