Seasonal CPA Firm Administrative Assistant

A local CPA firm is looking for a highly skilled and experienced Administrative Assistant to perform a variety of tasks to assist during tax season.  This is a seasonal, 40 hours per week position.

Responsibilities and Duties

·         Greeting clients and visitors, answering phones, and assisting with client inquires

·         Compose and format correspondence, and other documents; prepare and maintain spreadsheets

·         Assembly of tax returns, financial statements, and other client documents

·         Manage and monitor due dates for timely filing of client tax returns and other government filings

·         Maintain electronic and paper files and records

·         Manage receipt and release of client documentation and incoming/outgoing mail

·         Calendar management for the office

·         Maintain confidentiality regarding all aspects of the firm and its clients

·         Proofread and edit prepared materials for grammar, spelling, punctuation, format and syntax

·         Monitor office supplies to ensure timely replenishment

·         The candidate must be highly-organized, detail-oriented, and able to work independently on time-sensitive matters - with accuracy, quality, and integrity

·         Have ability to work in a team environment

·         Ability to track and take responsibility for a task or project through to completion, on time, with a clear understanding of deadlines

·         Have strong experience/proficiency with MS Office (Word, Excel, Outlook, etc.)

·         Ability to learn new systems and processes specific to business operations

·         Be flexible, adaptable and have the ability to perform in an environment where workloads are likely to be heavy at times

·         Possess excellent written, oral and interpersonal communication skills

·         Be self-directed, self-motivated and able to work with minimal supervision

·         Be able to properly manage multiple priorities and work effectively under tight deadlines


·         Associates or Bachelor Degree

·         2+ years of administrative assistant experience in a professional office or corporate environment
