Responsible for booking, coordinating, and working events.
Duties and responsibilities
Answer and return all inquiry calls and booking of events.
Schedule and meet with potential clients to give site tours of the facility, providing all information needed to secure a reservation of the room(s).
Follow up calls and emails on past inquires for rental space and tentative holds.
Compose accurate contracts for clients events.
Book group tours and schedule docents.
Receive deposits within 10 days of the contract being sent out and collect payments of current contracts.
Check event rooms the day before the event for accuracy of set up.
Keep inventory of linen needed for in house functions and scheduled events.
Order sashes from distributor and keeping track that they arrive on time.
Call for final event details and desired layout one week prior to scheduled event.
Answer any vendor questions regarding potential or booked events.
Oversee wedding rehearsals the day prior to the wedding.
Manage and adhere to a timeline/order of events throughout the duration of the event.
Assist behind the bar when needed/ restock alcohol and bar items as necessary throughout event.
In charge of all scheduling for bartenders, police details, and a staff member to put on chair covers/sashes on for events.
Place Liquor orders and generate check requests for payment.
Make sure the Liquor Room stays neat and bar equipment is clean.
Keep positive and upbeat demeanor throughout the duration of the event.
All other duties as assigned
Minimum two years event planning experience preferred; B.A. degree preferred
Strong attention to detail and strong computer and organizational skills
Excellent customer service and people skills
Ability to establish and maintain effective working relationships
Proficient in Microsoft Office Suite
Standing for long periods while on site at events
Work flexible hours, including nights, weekends and holidays
